What to Expect During a Magnet® Site Visit: A Timeline

Once your written application is approved, the site visit is the final major milestone. Here's what typically happens, and when.

6-8 Weeks Before

You'll receive your appraisers' names and the visit dates. This is the window to run mock interviews with staff across shifts and units, and to make sure any documentation referenced in the narrative is easy to locate quickly.

1-2 Weeks Before

Appraisers usually send a preliminary agenda outlining which units and roles they want to meet. Use this time to brief staff — not to script answers, but to remind them what "why" and "how" questions sound like.

Day 1: Arrival and Leadership Sessions

The visit typically opens with meetings between appraisers and senior leadership, followed by a broad organizational overview. Appraisers are assessing whether the culture described in the narrative matches what they observe in the room.

Day 2: Unit Visits and Staff Interviews

This is the heart of the visit. Appraisers move through units, talking directly with staff nurses — often without managers present — asking about specific practice changes, shared governance, and how decisions get made. Consistency across roles and shifts matters more here than any single polished answer.

Day 3: Follow-Up and Closing

Appraisers typically request any final documentation gaps, then hold a closing session with leadership. This isn't a decision announcement — the formal designation decision comes later, from the Commission on Magnet Recognition®.

After the Visit

There's typically a waiting period of a few months before the final decision. Use this time to keep practice changes going; the culture the appraisers observed should keep evolving, not pause.

The Key to a Smooth Visit

The organizations that do best treat the site visit as a chance to show real practice, not perform it. Staff who speak naturally about what they do — rather than reciting talking points — tend to leave the strongest impression.
